QCPC Board Minutes, April 3, 2017



PICKLEBALL BOARD MEETING MINUTES (040317)
BOARD MEMBER ATTENDEES:  Jean Bustard (President), John Hughes (Vice President), Karen Morse (Treasurer), Linda von Felden (Secretary)
COMMITTEE CHAIR ATTENDEES: Susan Jones (Membership), Jeanne Iannacchino (Court Management), Ruth Maki (Communications), Sandy Veydt (Social Committee Chair)
GENERAL MEMBER ATTENDEES: David Kikel, Ron Grantz, Debra Mallory, Leah Hoffman

MINUTES
1.       Meeting was called to order by Jean Bustard at 1:00pm.
2.       Minutes from last Board Meeting (030617) were approved with no changes.  
3.       Treasurer’s Report (Karen Morse)
·         Report was distributed and reviewed.  Currently, there is a total of $15,481.83 in the bank, which includes the $3,500 Reserve Fund.
·         Received $124.00 in ball donations.
·         Paid out $35.00 to Joey Farias for lessons/clinics.
·         Paid out $43.40 for socials.
4.       Meeting Dates for 2018 (Jean Bustard)
·         Will continue to meet the first Monday of each month, other than January, which will be January 8th.    Dates of meeting will be announced in monthly Newsletter.
·         Had to adjust time due to Tennis Board submitted their request first.  PB Board will meet from 12:00-2:00 in 2018.

5.        Committee Reports
·         Membership (Susan Jones) – Club has 301 active, paid members (143 Men / 168 Women); 256 renewals and 45 new members since January 1st.  Updated list will be sent to Ruth for website.  We have 9 Associate Members. 
·         Communication (Ruth Maki) – There were some problems with “Sign Up Genius,” which have been resolved.  Beginning in May, Newsletter will be issued as needed, since season is over.
·         Court Management (Jeanne Iannacchino) – Court cleaning does not seem to happen on a regular basis, so Jeanne will get with Mike Taylor to see if a schedule can be established (8 courts, twice a week).  Talked about purchasing wind sock/hanger for Courts 15 & 16.  Holding off on the purchase of additional balls, since there is talk of a new, different ball being considered.  Courts 1-4 will be closed April 27th for the installation of the new shed.
·         Socials (Sandy Veydt) – Social for April is scheduled for April 19th.  Does not seem to be interest for May Social (no one volunteering to sign up).  It would be nice if different folks to volunteer who may have ideas for new games to play.
·         Green Valley Sr. Games (David Kikel) – Games went very well.  Received positive emails; only issue seemed to be parking.  Possibly next year have parking elsewhere and provide shuttle service.  Great opportunity to promote Quail Creek living; maybe get together with Sales for tours, raffles, prizes, etc.  Additional clean-up is needed during the games.  Dave & Merry Mungo will coordinate games next year.

6.       Player Development and Organized Play (Karen Morse)
·         Drills for all levels are being held on Tuesday & Thursday mornings, from 8:00-9:00am, on Courts 1& 2, and will to Courts 11 & 12 after April 15th.  The purchase of a ball machine for learning purposes was discussed.  Karen Morse would operate the machine for the drills; she will look into liability for the machine before discussion goes any further.
·         Courts 3 & 4 are reserved for Open Play from 8:00-12:00 thru April 15th. 
·         Courts 3 & 4 will be reserved for beginner play on Tuesday mornings from 8:00-11:00am until the end of April.
·         Cathy Palaese from Green Valley has volunteered to continue teaching lessons.  Information will be noted in newsletter.
·         There is Womens & Mens Level Round Robin on Thursdays, beginning at 1:00pm, upper courts.  This will continue as long as weather permits; then may move to different day/time.
·         Board will discuss whether or not to have Joey Farias continue his lessons/clinics.  Mixed feedback was received as to the benefit of his classes.  Also discussed the value of having Mark Rennesen continue his instruction; more positive feedback was received on his clinics.
·         Jeff Harrell (President of Green Valley PB) called Jean Bustard to discuss the possibility of alternating tournament play between the two groups during the summer months.
·         Dave Weinbach will be in QC December 11-14 for clinics and lessons.  Information will be provided in newsletter when event date approaches.

7.        Round Robin Update (Karen Morse)
·         George Mynatt will not coordinate Wednesday RR during the Summer.  Thank you so much to George for all his time and energy in organizing such a successful event.
·         Karen Morse will run the RR thru the summer as long as there is interest.

8.       Status of Storage Shed (David Kikel)
·         Installation of storage shed has begun; area has been prepped.  Courts 1-4 will be closed on April 27th for the installation of shed.  Will be placed on 6” galvanized footers.  Ramp will be installed for ease in rolling heavier equipment in/out of shed.

9.       Update on St. Jude Tournament (Karen Morse)
·         Tournament was a success; total of 42 teams signed up.  Total of $3200 was raised (?? Please verify.)

10.   Other Business
·         Donna Koonz (??) (GVR) suggested having tournament with QC where the profits would be split between the 2 clubs.  We receive no monies from Senior Games.
·         Jean will submit capital requests for lights, shades, balls.  Also suggest that gravel/plants be replaced with other materials to lower the risk of people being injured as they walk around ramada.
·         With Karen Morse becoming more involved in Player Development Coordinator, there is need for Treasurer.  Player Development Coordinator will be a Board position, with voting responsibility.
·         Statement will be issued in Newsletter reminding players to lock storage bin each time it is opened.  It was left with lid open and unlocked and rain got into bin, which could lead to ruined / molded equipment.
