QCPC BOARD MEETING MINUTES
January 8, 2018

MINUTES
1.       The meeting was called to order at 12:00 PM by President, Jean Bustard. 

2.       Jean welcomed and introduced new Board and Committee Chair members (Susie Eckhardt, Barbara Havel, Steve Shapiro) and explained how the meeting was conducted.  Jean explained that there are 4 voting Board Members (President, VP, Secretary, Treasurer), and the President appoints 3 Committee Chairs to also be voting members.  The guests introduced themselves and stated why they were attending and if they had any items for the agenda.

3.       Minutes from previous meeting were approved with slight change made by Ruth Maki.  She moved Susan Jones up to Board Members, as she is a voting member.  In the future, when meeting minutes need to be revised, an email will be sent to the Secretary, who will make the change and then send to Communications Chair to be posted/re-posted to website.

4.       Treasurer’s Report (Cheryl Francis)
·         We received $1,040.00 in dues for 2018.  The checking account now contains $16,420.64 with $3500 of that held in reserve.
·         Jean is working on the 2018 budget and will distribute to the Board prior to the February 5th meeting.  This will provide time to review prior to presenting at the next General Membership Meeting, scheduled for February 16th.
·         The books for 2017 are being finalized/closed, and we will have an Audit Committee review them.  Dave Mungo and Andy Eckhardt have agreed to audit them again this year.

5.       Committee Reports
a.       Membership (Susan Jones) -- We now have 405 members (200 men / 205 women).  Twelve new members signed in month of December.  Member list will be purged at end of January; it is assumed that 159 members will drop off.   For budget purposes, Jean has projected a membership total of 340 ($6800).  Susan has been confirming that people who sign up for Wednesday RR are current members.
b.       Communications Chair (Ruth Maki) – There is so much news to include in the weekly newsletters that Ruth has requested items for inclusion be sent to her by Thursday, end of day.  She has received complaints that sign-ups for lessons, etc. fill up too quickly.  Unfortunately, until we have additional qualified instructors/volunteers, there is not much we can do to correct this issue.  Ruth will be out of the country February 12-March 4.  Jean, Steve, & Susan volunteered to help with newsletters, sign-ups, website in her absence.
c.       Court Management (Jeannie Innachinno) – Ice machine has been repaired; appears it shut off (safety feature) from over-use.  Some folks were having difficulty with their keys; some gunk was sprayed into the lock and issue seems to be fixed.   Seemed to be a problem with overhead lights on Courts 1 & 2; a statement will be issued in newsletter about how to operate.   Jean received call from Jorge regarding lights & electricity for the shed, but she has not connected with him to report anything to the Board about the status of our request.  Upcoming tournament dates have been given to Rob so he can coordinate what needs to be done for the courts, restrooms, extra trash pick-up, etc.  It was suggested that an email be sent to Mike Taylor regarding tournament dates and what we need so he can coordinate with his staff.  Jim Blank donated 84 orange balls to be used for training.
d.       Socials (Susie Eckhardt / Barbara Havel) – Susie asked what the yearly budget allowance is for socials; total proposed for 2018 is $1,000.  Cheryl explained the Check Request Form and process for reimbursement and provided Susie with a copy of the form.  Socials are the 3rd Wednesday of each month and will take the place of the weekly Round Robin; time of day for social is determined by whomever volunteers for each month’s social.  Linda Bishop and her husband, Bush, have volunteered for the first social, which is scheduled for January 17th, beginning at 9:00am.  Theme is, “Beat the Blues;” email with details and sign-ups will be issued within the next couple days.  We need volunteers for subsequent socials!!
e.       Landscape (Dave Mungo) – Dave Mungo & Bill Vollink put together a proposal with 2 options, which was distributed for review.  Board approved zones 1-6 and Option B for Zone 7.  Dave & Bill will proceed with getting quotes from vendors approved to work in QC.
f.        Club Gear (Ann Smith) – Due to timeframe, we will use same vendor for shirts; no hats.  Ann will be at Round Robin with order forms and color chart (used 1 order form per shirt).   Cost is $22; need to sell 30 shirts for Club to break even.

6.        Player Development & Organized Play (Karen Morse)
a.       IPTPA Train the Trainer for Instructors – Jean Bustard, Sharon Kolarnik, Karen Morse, and Kathy Palese will be attending a 2-day class in Phoenix (01/20 & 01/21).  At completion, Karen should receive Level 1 teaching certification.  Jean, Sharon, & Kathy should receive Levels 1 & 2.
b.       Please get calendar schedule to Steve Shapiro so he can reserve necessary courts at required time.
c.       Club Lessons & Drills – Beginner drills will continue; schedule for medium-upper skill drills will be posted in newsletter.  Focus for training needs to be refined based on the recent ratings sessions that were held.  The experience opened up new possibilities, which need to be explored.  This will be a work-in-progress.   Riff has 2 additional days in January when he is available to conduct another ratings session.  An announcement will be sent out to members for signing up; space available for 12; need to sign up by January 14th.
d.       Visiting Instructors
·         Joey Farias & Sean Rickard Clinics – January 26, February 18, & March (TBD).  This is for 3.0+; details for signing up are in newsletter.
·         Scott Moore Clinic – January 24 & 25

7.        Upcoming Tournaments
a.       Firefighter’s Tournament – February 10 & 11.  Sign-up and information is available thru a link in the Newsletter.  Steve Shapiro coordinating this event with GV Firefighters.
b.       Southern Arizona Senior Games – March 6, 7, & 8.  Dave & Merry Mungo will be coordinating this event with GVR.  Dave working on getting additional information; sign ups started on January 8th.
c.       QC Classis (St. Jude) – March 24 & 25.  Lenny Friedman & Erika Lochow organizing the event.  Will follow same format as last year, with additional levels of play added (2.0-4.5).  Will use 14 courts in the mornings and 10 courts in afternoons.  Coordinate with Mike Taylor & AAA Landscaping.  There is a planning meeting on January 12th @ 2:30pm in Kino Conference Room for anyone wishing to volunteer.  Information will be posted in Newsletter when it becomes available.
d.       Robson Intercommunity – Steve Shapiro coordinating with other Robson properties; looking to schedule tournaments at each of the properties.  Steve is finalizing details and will send out information by end of next week.

8.       Other Business – There is a lot of good stuff going on; lots of ideas and work to be done.  We will build on the positive and continue to grow and improve the Club.

9.       Next Board Meeting – February 5th @ Noon.  As the Tennis Club as their monthly meeting immediately following ours, Jean will look into starting the meetings at 11:45am to ensure we have ample time for our meeting and that we finish on time so as not to interfere with the Tennis Club meetings.
