QCPC BOARD MEETING MINUTES April 2, 2018

BOARD MEMBER ATTENDEES:  Jean Bustard* (President), Barbara Havel (Social Co-Chair), Susie Eckhardt (Social Co-Chair), Ruth Maki* (Communications), Steve Shapiro* (VP), Dave Thomas (Court Maintenance), Linda von Felden* (Secretary)

ABSENT BOARD MEMBERS: Cheryl Francis* (Treasurer), Susan Jones* (Membership), Karen Morse* (Player Development)

MINUTES 1.  Meeting was called to order at 12:00PM by Jean Bustard.

2. Minutes from previous meeting (030518) were approved.

3. Treasurers Report (Jean Bustard presented for Cheryl Francis) – Money in/out was reviewed.  Questions were raised as to why Membership Dues for March and for YTD did not end in “0,” as dues are $20 for full and $10 for associate.  Jean will get with Cheryl when she returns from vacation.  Total in checking account is $17,256.08. Our 2018 projected budget for Membership Dues was $6800, which we have surpassed; YTD Membership Dues is $7185.00.    Checking with Wells Fargo on minimum balance needed so we don’t incur monthly fees.

4. Committee Reports  a. Membership (Jean Bustard for Susan Jones) – Total membership is at 336; 9 new members since last report.  Breakout is 162 men / 174 women.  A list of members/contact info and their rating is now available on website. b. Communications (Ruth Maki) – Newsletter will be issued on a weekly basis thru end of April.  Issued June thru September as needed. c. Court Management (Dave Thomas) – Dave and John Sicardi have been working together to figure out what is needed and who to work with to get things done.  Jean will introduce them to Jorge so they can start working together to get a schedule for court cleaning, landscape maintenance, etc.  Clock automatically changes time for Daylight Savings and is now correct to Arizona time.  There is a box of new balls in storage closet, which will be put in sleeves.  Discussed putting just 6 balls in each sleeve to keep them from overflowing and rolling all over court.   Additional balls should be ordered when there are only 50 new ones left in storage.  Dave/John will let Steve Shapiro know when to order, as Steve is contact person with Pickleball Central.  Still working on getting electrical boxes moved from inside of courts to outside court area.  Solar lights have been installed by the door of the Shed.  Overhead lights in Ramada area are being replaced so there is a better seal around the light to keep bugs from getting into light fixture. d. Socials (Susie Eckhardt / Barbara Havel) – The March social at Beth & Bob Larose was a huge success.  Next social is planned for April 18th, organized by Lenny Friedman & Erika Lochow; details to be provided in this week’s Newsletter.  Susie & Barbara asked that a key to the shed  be provided to whomever is in charge of the monthly social.  Jean will have an extra key made so it can be signed in/out, rather than Susie or Barbara having to give up their key.
e. Club Gear (Jean Bustard) – PB Club name tags have come in and distributed to those who ordered them.  A box of extra shirts was given to Jean.  She will go thru them and decide what to do with them; possibly door prizes for the socials.

5. Player Development / Organized Play (Jean Bustard) a. Round Robins – Amy Giannakakis & Suzanne Sicardi have volunteered to run these in Karen Morse’s absence.  Beginning April 11th, these will begin at 9:00AM.  This will be announced in weekly Newsletter. b. Drills – With Karen’s absence and because of the warmer weather, there will be no more beginner drills until further notice. c. Intro to PB – Lenny Friedman would like to hold another “Introduction to Pickleball” session.  He will coordinate with the Club, a date will be set, then it will be advertised in “What’s Happening.”  He will need to recruit helpers, and we will need to have a plan in place for what’s next for anyone new who signs up and wants instruction. d. Inter-Community Play with GV – This was not approved last year.  Jean has a meeting with Mike Taylor later this week and will present the proposal for approval for this summer.

6. Educations Rating Program (Jean Bustard) – Another rating session was conducted on March 23rd.  All 16 members passed.  CONGRATULATIONS to everyone.  Two more rating sessions have been scheduled:  April 18 & May 19.

7. Upcoming Tournaments / Intercommunity (Steve Shapiro) – We will host this year’s tournament.  Steve is in process of organizing with our other Robson Communities.  To be held later this year in October.

8. Other Business a. It was approved to open up Courts 13 & 14 for reservations, with priority going to instructors. b. It was suggested that an AED be available at the Courts.  There was one available when courts first opened, but it was stolen.  These are quite expensive, and we need to decide how and where to lock it up where it is still readily accessible.  Jean will discuss with Mike Taylor.  c. Should another group within QC wish to reserve the Ramada, a request is made to Mike Taylor who then coordinates with Jean to make sure there are no conflict with Club activities.  This is for use of the Ramada only; not for courts or any of our equipment. d. Board will take summer break during months of June and July.
