QCPC Board Meeting Minutes
April 4, 2016
1:30 pm
Silver Room

Present:  President David Kikel; Board Members, John Hughes, Pam Martin, Ruth Maki, Rich Pokorski, Marie Still, and Jo-Anna Kikel.

1.     The meeting was called to order by President David Kikel at 1:30.

2.     The minutes from the March 7 meeting were approved. 

3.     Treasurer Pam Martin reported that we collected $1,147.08 in March, including $806 that was paid by members for T-shirts and hats.  We spent $985.18 on T-Shirts and hats.  Other expenses totaled $415.41.  We have $12,213.68 in our checking account.  Advanced Round Robin players from outside Quail Creek donated $203 for new balls. 

4.     Committee Reports
a.     Membership Chair Marie Still reported that we have a total of 283 paid members with 78 new members.
b.     Communications/Website Chair Jo-Anna Kikel reported that the monthly newsletter is suspended for summer, but will be sent out as needed. Mail Chimp and Sign-Up Genius are working well.  Jo-Anna is working with Bill Maki and Ken Holman to find a different provider for the website that would make it easier to update. She would like various chairs to be able to upload their own information, e.g., the membership list and the minutes.  She is still looking for someone to take over her responsibilities in 2017.
c.     Court Management Chair Rich Pokorski reported that the courts are not being blown off and power washed as often as they should be.  He had spoken to General Manager Mike Taylor about this.  Rich has ordered new balls from Pickleball Central.  Two boxes are cheaper than what we were paying before.  He also asked that the backorder for the new style of balls be canceled.  A question about whether we should remove some balls in the summer because of lower usage was raised. Rich will see what court maintenance individuals think about this.  Some Robson pickleball clubs have proposed having a Robson Cup tournament next year.  Rich suggested that we have a representative on the committee planning any such tournament.. 
5.     Court Reservations & Usage
a.     Courts 1-4 can be reserved; Courts 5-12 are for Club Play in the mornings; Courts 13-16 are for drop in play.  This was a problem when Assisted Play was using Courts 1-4.  This will need to be dealt with next season when Assisted Play begins again.
b.     Assisted play ended for the season.  We will start it again next season after introductory lessons in December.
c.     Wednesday round robin ended for the season.  We will talk about re-starting it next fall.  There were problems both with separating groups by skill level and with merged groups, especially with the men.  Rich suggested that it would be better to use something like A, B, and C levels rather than actual pickleball ratings.  In Fall, we may have to move to different days for men and women if we get large numbers of people signing up.
d.     Thursday Advanced play has ended, but Saturday Advanced play will continue for now.  Will need to move the Saturday Advanced to earlier in the morning. Open play now lasts until 11.  Advanced Play could reserve Courts 1-4 for summer and we would still have 4 drop in courts. 
e.     An issue came up about use of Club Play courts (5-12) if other courts are full and no one is on some of them.  The Board agreed that if the Club Play courts aren’t all being used and if other courts are full, then Quail Creek residents and guests may use the open Club Play courts.
f.      Club Play is for Members Only.  Members shouldn’t bring non-Club people to Club Play.  Technically, house guests also should not be able to participate in Club Play.  The general rule is that residents who are not Club Members and non-residents should not play.   

6.     2017 meeting room reservations.  We have the Kino Board Room reserved for a Board meeting each month, usually on the first Monday.  Member meetings are scheduled for February and November. 

7.     Capital improvements—George Mynatt has determined where the shade awnings should go to eliminate shade on the courts at different times of the day.  George, Mike Taylor, and David Kikel met with a contractor about the shade awnings.  We are addressing the shade awnings first and later we will address the shed.

Pickleball back board- Green Valley has one that is 8 X 12 ft.  It costs about $2,000.  Our fence is much lower and the middle brace would not work for our situation.  Our membership would like to have this, so we should consider it, but it needs to be smaller than the GV one.  We could either buy it or it could be a capital improvement project?  But we need a proposal that would work for us.  David will look into finding something more feasible and run it by Mike Taylor to see if there are any objections from Robson.

8.  Events
a.     The Firemen’s tournament was a success.  They will probably want to do it again next year.
b.     The Senior Games were March 9-11 and were very well attended.  We need a coordinator for next year.
c.     Play/party planned events –A Dink Fest followed by a continental breakfast is scheduled for April 20.  We will also have some event for the 4th of July.

8.     A second order of shirts and hats has been submitted.

9.     John Hughes and his committee (Cindy Pokorski, Ruth Maki, and Doug Stacken) are creating a Policy and Procedures Manual.  It should be ready for Board consideration at the June meeting.

10. The next Board meeting is on June 6 at 1:00, in Silver Room #1.
